As with past revisions, policy changes are driven by legislative requirements, communication clarity, and continuous improvement. Please know the revision process includes, where appropriate, consultation with the Employee Engagement Representatives (EERs), who support Christian Horizons with its commitment to a collaborative approach to understanding and making recommendations regarding employment conditions.
Chart of Updates in PolicyManager
In previous years, we would send out the Chart of Updates (a chart describing what changes were made to policy) together with this communication by email.
With the move to PolicyManager, we will discontinue the practice of distributing this document by email. Now you will find the Chart of Policy Updates directly in PolicyManager by following the steps below:
- Log in to PolicyManager and look at the folders on the homepage.
- You’ll see a new folder called Chart of Updates that contains the Employee Policy Chart of Updates for the July 2023 release.
- Refer to the photo below for a snapshot of what this looks like in PolicyManager:
You are encouraged to read the Employee Policy Chart of Updates before reviewing the actual policy updates in the policy documents, so you understand what changes are coming.
PolicyManager Metadata – Changes/Updates
When viewing an updated policy in PolicyManager, there is a metadata field called “Summary of Changes/Updates” on the right-side panel of the policy document that describes the Changes/Updates to a particular policy section. This area will detail which subsections have been updated and describe the changes at a high level. Refer to the snapshot below:
TAKE A LOOK AT THE CHANGES/UPDATES AREA BEFORE YOU READ THROUGH THE FULL POLICY. There might be just one or two updated subsections for your review and attestation, and by reviewing the description in the Summary of Changes/Updates field you’ll know exactly which subsections have been updated and how.
iAttest – Attesting to Policy Updates
Moving forward as policies are updated, all employees are required to attest to changes in PolicyManager using the feature called iAttest. iAttest replaces our previous practice of having employees review the updates and manually sign off on the Reference Manual Review Sign Off Sheet.
NOT EVERY UPDATED POLICY WILL REQUIRE YOUR ATTESTATION. Where policy sections have only been updated to reflect current roles and titles, or the current name of a form, these will not be assigned to you in iAttest.
Shortly, you will receive a notification to your Christian Horizons work email address letting you know which policy sections have been assigned for your attestation. In this email you’ll be notified of the attestation period (i.e., how long you have) and a direct link to complete your attestation in PolicyManager. For this round of policy updates, employees will be required to complete their attestation by September 30, 2023.
Support in PolicyManager
Earlier this month, all employees were assigned a Learning Management System (LMS) training video on how to use PolicyManager. Be sure to complete this training to understand how you are expected to use the features and complete your attestation.
If you need any assistance in PolicyManager, whether it is navigating the software or completing your attestation, please contact one of the System Administrators of PolicyManager at policyadmin@christian-horizons.org. Issues logging in to the system can be logged using a HelpDesk Ticket. A common issue we have noticed with login is an “Access Denied” error, which can be quickly resolved by clearing the browser’s cache.
