Read on to learn more about the updates to policies in Section E – Human Resources and Section F – Employee Health & Safety that were introduced on May 29, 2026.
SECTION E – HUMAN RESOURCES
E.4 Working Hours (Ontario & Saskatchewan)
- Punching In and Out
- New detailed rules added to clarify expectations around accurate employee punches in appropriate work location(s). Supervisors may only correct errors and must notify employees.
- Meeting & Training Pay – Minimum Pay Guarantee
- For regular meetings scheduled in advance – paid actual time
- For any other occasional meetings/training – paid the 3-hour minimum.
E.5 Vacation (Ontario only)
Policy updated in response to feedback from Employee Engagement Representatives (EERs) and District leadership that a September 1 deadline for early-year vacation requests caused confusion, as employees were not ready to plan the following year’s vacation immediately after summer.
- New vacation deadlines: April 15 and October 15: approval by seniority.
- Requests submitted outside of these deadlines: approved on a first-come, first-served basis.
- Special rules for vacation requests during the last two weeks of December.
- Supervisors may assign vacation if not submitted by May 1.
E.8.2 Employee Code of Conduct (Ontario & Saskatchewan)
Policy affirms our expectations for employees to use positive and respectful language in the work environment including electronic communication (e.g., Teams, text messages, emails and notes in AlayaCare).
Employees are also expected to be punctual, accurately record actual time worked, and attend scheduled shifts unless away on an approved leave.
E.8.11 Electronic Monitoring (Ontario & Saskatchewan)
Updates made to clarify that time and attendance data is being tracked through geofencing in UKG and may be used to verify punch-in and punch-out locations and on-time attendance. This supports existing expectations related to reliability, punctuality and accurate timekeeping.
SECTION F – EMPLOYEE HEALTH AND SAFETY
F.1.2 & F.14 Employee Health & Safety Definition (Saskatchewan only)
Our Harassment definition has been updated to align with Saskatchewan legislation. This helps ensure clarity, consistency, and compliance with provincial standards.
F.6.2.1.3 ON | F.7.2.1.3 SK Completing the Inspection Report
Monthly workplace inspections must now be completed in AlayaCare following the inspection using the P-5:3 Workplace Inspection Report and shared with supervisors and Health & Safety Representatives.
F.15.2 Driver Requirements (Ontario only)
Our safe driving policies now require a valid full Class “G” driver’s license, copy of a satisfactory 3-year driving record, and proof of valid insurance coverage. Please note, this policy applies to positions that are required to drive Karis owned or leased vehicles.
F.17 ON | F.19 SK Employee Responsibilities Relating to Personal Protective Equipment (PPE)
Employees must be ready to follow airborne infection protocols and wear all required PPE by completing training and being fit tested to wear an N95 mask.
