February 15, 2024
Dear Karis Employees,
We hope this message finds you well. We are excited to announce a new Bring Your Own Device policy at Karis Disability Services, effective February 28, 2024. This policy is designed to align with the evolving landscape of modern workplaces and the increasing use of web-hosted software like UKG, Office 365, and PolicyManager.
Why is a Bring Your Own Device Policy is Needed? In adapting to the changing work environment, this policy offers several benefits to employees, including increased flexibility, job satisfaction, and productivity. As we integrate with technologies like UKG, Office 365, and PolicyManager, allowing personal device use becomes instrumental in ensuring a seamless work experience.
Voluntary Participation: It’s important to note that this policy is entirely voluntary. Staff have the option to choose whether or not to use their personal devices.
Scope: This policy applies to all staff and contractors and includes personal devices such as smartphones, tablets, and Personal Computers. However, if you have a Karis-issued device, we expect you to use it over a personal device.
Best Practices: To maintain a secure work environment, we ask that all users adhere to a set of best practices when using personal devices, including setting passwords, using lock screens, PINs, Face ID, having virus protection, and ensuring that devices run on current operating systems.
App Restrictions: Certain apps are restricted from personal devices, while others are approved for use. Please refer to the policy document for a detailed list, which will be published in PolicyManager later this month.
Data Protection: To safeguard sensitive information, do not save Karis data, information, files, screen captures, texts, emails, and photos on your personal devices. We continue to require responsible use and storage of company data.
Device Access: There is currently no requirement to give Digital, Technology and Innovation Team (DTI) access to personal phones. Personal devices will not be enrolled in the Karis Mobile Device Management system. DTI will not be monitoring or approving staff use of their personal devices at this time. If, in the future, DTI determines it necessary to enroll personal devices in our Karis Mobile Device Management system, employees will be given a choice whether they wish to continue participating in using their personal device.
We are looking forward to the benefits this new policy brings staff and our organization!
Thank you!
Best regards,
Digital, Technology, and Innovation Team
