As of May 23, 2024, the Psychotropic PRN Protocol User Form in AlayaCare is no longer available for submission or updates. However, existing submissions can be viewed until June 30, 2024. Going forward, the annually updated and signed Psychotropic PRN Protocol must be scanned and uploaded to AlayaCare.

As you may be aware, work has been under way to review and approve forms in AlayaCare to improve the quality and functionality of AlayaCare user forms. We would like to share with you one change from these reviews pertains to Psychotropic PRN Protocols. That is, we have identified that this form does not meet the needs of the various districts at this time. Consequently, we have locked the Psychotropic PRN Protocol User Form in AlayaCare for submission or updates as of May 23, 2024.

What Does This Mean for You?

If there are current Psychotropic PRN Protocols entered into AlayaCare, they will remain visible until June 30, 2024, to allow you to transfer information to the paper form. Supervisors and teams are asked to confirm that the protocol is currently available in the Person‘s Individual Binder with the doctor’s signature on it. Once verified, please inform your Systems Administrator or Systems Manager so that the form on AlayaCare can be deleted.

If the current entry in AlayaCare is actually not the protocol but instead was supposed to be an Occurrence Incident report, please ensure this information is entered into an O/I report. Then inform your Systems Administrator or Systems Manager so it can be deleted.

Going forward, when the annual Psychotropic PRN Protocol is updated and signed by the doctor, it must be scanned and uploaded to AlayaCare in the “Internal Documents” folder under the Client Attachments section. The file upload must be named using the convention “current year Psychotropic PRN Protocol,” for example: “2024 Psychotropic PRN Protocol.”

Immediate Action Requested! On June 30, 2024, the AlayaCare team plans to delete any remaining PRN Protocol User Forms from the system. By this date, all teams must confirm that PRN Protocols are available and current in the Person‘s Individual Binder and that any OI information has been transferred, as outlined above.
