A new system for non-financial data reporting, with more automation
To: Program Managers, Team Leads, Area Managers, Systems Managers, and Executive Directors in Ontario.
Last week the Compliance Data dashboard was launched!
This week we are highlighting a new, improved Non-Financial Reporting process for Ontario that launched on June 4th. Good news, approximately 70% of the work is now automated for PMs! The new process for reporting non-financial data is summarized below.
Next week we are planning to share several significant updates:
- Support documentation standards – making it clear: what should be documented and where in AlayaCare.
- Review what’s coming in the next AlayaCare release.
- Sharing the findings and recommendations from a change management assessment.
—————————————
With the retirement of the ODB, a new non-financial reporting process has been created to reduce manual data entry and make the process more efficient. The new process automates approximately 70% of the work that was previously done manually.
The new process for reporting non-financial data is as follows:
- Non-financial reporting for individual days of support/number of individuals will be automatically pulled from service history data in Unison for applicable service types (Group living, CPS, SIL, Host Family, Specialized supports). The service history data is to be maintained and kept up to date by Systems Managers. Program Managers will no longer be required to enter days of support for these services.
- For Individuals receiving respite services, respite hours will need to be entered monthly in a new AlayaCare form named “Individual Respite Hours (Non-Financial)”.
- For service locations of type Group living, Specialized accommodation & Intensive support, the number of beds (ministry funded), it will need to be entered monthly in a new AlayaCare form named “Service Location Beds (Non-Financial)”.
District Controllers will have access to non-financial reports in Microsoft Power BI and will use this information to report on service targets in ongoing financial reporting to the Ministry of Community, Children and Social Services
For Saskatchewan services, more information will be available in the coming months as we provide more customized reporting for specific requirements in Saskatchewan.
Sincerely,
Dwayne Milley
