We are excited to share another update on the work happening to implement PolicyManager (by PolicyMedical) at Christian Horizons. In our last update on November 3, we gave you an overview of the powerful keyword search and the advanced search function in PolicyManager that will help you easily locate policies with the click of a button.
Today, we’ll share about two features in PolicyManager that are designed to keep you informed and up to date on current policies: email notifications and employee attestation.
Our Current Process
As you know, with our current process, when updates to a policy are made, or a new policy is released, an announcement is released through On The Horizon notifying all employees. In the following days, policy update packages will arrive at locations and manual holders by mail, and the Reference Manual is updated according to the instruction sheet.
The policy update packages you’re used to receiving contain a copy of the Reference Manual Sign-Off Sheet (pictured below). This is the sheet that is inserted into the front of the manual that serves as a record of employee attestation (i.e., the employees that have reviewed the updates and when).
Email Notifications and Employee Attestation in PolicyManager
After PolicyManager is implemented, our current process of mailing policy update packages and instruction sheets will be a thing of the past. We will also discontinue the use of the Reference Manual Sign-Off Sheet because employees can attest to policy updates right in PolicyManager using iAttest.
In PolicyManager, when changes are made to an existing policy, or a new policy is released, you will receive an email notification to your Christian Horizons work email address. This email notification will tell you that there is a policy ready for your review and attestation in PolicyManager.
When you log in to PolicyManager, you will see three clickable icons on the PolicyManager homepage that detail the number of new policies, the number of updated policies, and the number of policies awaiting your employee attestation in iAttest (see snapshot example below).
In this example above, there are nine (9) new policies, twelve (12) updated policies, and zero (0) policies for employee attestation in iAttest.
What to Expect Next?
We are working hard to see PolicyManager go live for employees across the organization by December 13, 2022. That means that come mid-December, you’ll be able to log into PolicyManager to view and search for policies yourself, and you’ll be notified of future policy updates and attestations by email.
We recognize that it takes time to get comfortable with new ways of doing things, so please remember that we will be phasing out Reference Manual binders and the digital version on CHConnect slowly in the new year.
