To all employees

Since the December 2024 policy updates, we’ve made some immediate changes to comply with new police record check requirements for children’s services in Ontario, effective January 1, 2025, and addressed previous oversights in the HR policy updates.

These recent policy updates will be available by Monday, February 24, 2025, in PolicyManager, our policy management platform.

Key Highlights of the Updates:

Police Record Checks for Children’s Services (Ontario):

In early January, Michelle Norton, Director of Operations, shared an Interim Policy Directive on the recent regulatory amendments via this On The Horizon article. As mentioned in the article, these updates have now been incorporated into our Policies and Procedures in PolicyManager.

While these regulatory changes do not apply to Saskatchewan, we’ve updated specific terminologies (e.g., replacing “Vulnerable Sector Search” with “Vulnerable Sector Check”) in relevant Saskatchewan policies for language consistency, with no changes to the actual policies and procedures.

Human Resources Policy Updates:

Several policies and forms in the Human Resources Section (Section E and F) have been updated to address previous oversights in the December 2024 Policy Updates and to align with the current procedure for submitting relevant forms following the implementation of the Human Resources Information System (UKG).

These policy updates apply to all employees, regardless of union status. Please refer to the Chart of Policy Updates – February 2025 in PolicyManager to view the specific amendments applicable for Ontario and Saskatchewan services.

Policy Attestations

For these recent updates, you will only need to attest to the Chart of Policy Updates – February 2025. The attestation will be assigned along with the release of the updated policies by Monday.

Complete any pending attestations assigned to you for the December 2024 Policy Updates, along with the newly assigned attestation under iAttest in PolicyManager. Just in case you missed it, please refer to this article for more details on policy attestations.

Please feel free to contact policyadmin@karis.org with any questions or feedback about PolicyManager, and one of our System Administrators will respond promptly.

Thank you,

Dwayne Milley, VP of Operations
